INVITATION FOR BIDS (IFB)
CONSULTANCY FIRM TO PROVIDE WEBSITE DEVELOPMENT AND DESIGN SERVICES TO icipe

1. The International Centre of Insect Physiology and Ecology (icipe) was established in Kenya in 1970. icipe is the only independent international institute working primarily on arthropods. icipe’s mandate, while unique, also introduces challenges, given that icipe works across the four health themes: Human Health, Animal Health, Plant Health, and Environmental Health.
    
2. icipe seeks to engage a qualified Website Developer and Design Consultancy Firm to redesign and deploy a future-ready, interactive, and multilingual website that aligns with its strategic goals, enhances digital engagement, and integrates seamlessly with social media platforms. 3. icipe now invites interested firms who are able to demonstrate technical capability to undertake the assignment and meet the requirements below.
    
4. Interested Firms MUST have/provide the following (Technical Proposal):
   a.    A short but inclusive company profile which includes an organization chart.
   b.    Provide copies of: Certificate of statutory registration, PIN and valid Tax Compliance Certificate, and valid Single Business Permit.
   c.    A cover letter on the firm’s letter head signed by authorized representative, including contact details and the firm’s physical, postal, e-mail and web address.
   d.    Have at least ten (10) years’ experience in a similar business as icipe is seeking, including: proven experience in designing scientific/research institution websites, expertise in UI/UX design, WCAG compliance, and multilingual platforms, proficiency in AI tools (chatbots, smart search), CMS, and social media APIs, strong portfolio of interactive maps, analytics dashboards, and SEO optimization.
   e.    Provide at least three (3) references from reputable organisations whom the firm has provided services of similar nature as sought by icipe. They will be contacted.
   f.    Familiarity with science communication will be an added advantage.
   g.    Financial proposal: Provide a competitive fees quote (US$) to perform the assignment, with a clear breakdown of each cost and any chargeable taxes.
    
5. Completed proposals (both Technical & Financial) must be submitted in two separate sealed envelopes in hard copy, and both inserted in ONE sealed envelope addressed as below (see 7), and clearly marked: ‘Invitation of Bids for the provision of Website Development and Design services to icipe’ and be deposited in the icipe tender box located at Carroll Wilson Building, icipe Duduville Campus, Kasarani, Nairobi on or before 29th July 2025 at 11:00 hours East Africa Time.  Late submissions will be rejected. The Technical proposal will be opened the same date and time in Mzinga meeting room, in the presence of those submitting. All queries should be addressed to: icipetenders@icipe.org
    
6. General Information and Notice:
   a.    Any information provided by the bidding party will form the basis of any contract that may be entered into between icipe and the bidder.
   b.    icipe shall not be liable for or be required to pay any costs, expenses or losses that may be incurred by the bidding party in the preparation of their Bid.
   c.    icipe reserves the right to accept or reject any Bid without assigning any reasons thereof.
