INVITATION FOR BIDS (IFB)
CONSULTANCY FIRM TO PROVIDE WEBSITE DEVELOPMENT AND DESIGN SERVICES TO icipe

  1. The International Centre of Insect Physiology and Ecology (icipe) was established in Kenya in 1970. icipe is the only institution working primarily on insects and other arthropods, in Africa. The Centre is also unique in its mandate, which cuts across and links Human Health, Animal Health, Plant Health, and Environmental Health into a One Health approach.
  2. icipe seeks to engage a qualified Website Developer and Design Consultancy Firm to redesign and deploy a future-ready, dynamic, interactive, and multilingual website that aligns with the Centre’s strategic goals, enhances digital engagement, enables back-end data/information updates with ease and integrates seamlessly with social media platforms.   3. icipe now invites interested firms who can demonstrate technical capability to undertake the assignment and meet the requirements below.
  4. Interested Firms MUST submit the following details in their technical proposal (AS ONE PDF FILE with specific sections chronologically arranged for each item listed below).
    A:  Technical Proposal:
    i.    A concise yet inclusive company profile that includes an organizational structure chart.
    ii.    Provide statutory registration documents which include copies of: Certificate of company registration, Personal Identification Number (PIN), Valid Tax Compliance Certificate, and Valid Single Business Permit.
    iii.    A cover letter on the firm’s letterhead signed by an authorized representative, including contact details and the firm’s physical, postal, e-mail, and web address.
    iv.    Have at least five (5) years’ experience and expertise in a similar business as icipe is seeking, including: proven experience in designing scientific/research institution websites, expertise in UI/UX design, WCAG compliance, and multilingual platforms, proficiency in AI tools (chatbots, smart search), Wordpress CMS, and integration of social media APIs, and strong portfolio of interactive maps, analytics dashboards, and SEO optimization.
    v.    Familiarity with science communication and research for development (R4D) will be an added advantage.
    vi.    Provide at least three (3) references from reputable organisations whom the firm has provided services of similar nature as sought by icipe. The references will be contacted.
    vii.    Provide a copy of your organization’s Data protection certificate.

B:  Financial proposal: 
Provide a competitive quote (US$) to perform the assignment, with a clear breakdown of each cost and any chargeable taxes.

  1. Completed proposals (both Technical and Financial as two separate attachments, labelled appropriately) must be submitted electronically through e-mail to icipetenders@icipe.org. The e-mail subject should be clearly marked: ‘Invitation of Bids for the provision of Website Development and Design services to icipe’. The submission should reach icipe on or before 21st August 2025 at 11:00 hours East Africa Time (GMT+3).  Late submissions will be rejected.
  2. Any queries or clarification should be addressed to icipetenders@icipe.org and must be received by 13th August 2025 at 17:00hrs EAT. icipe will respond to all queries collectively by 14th August 2025 at 17:00 hrs East Africa Time (GMT +3).
  3. General Information and Notice:
    a.    Any information provided by the bidding party will form the basis of any contract that may be entered into between icipe and the bidder.
    b.    icipe is not responsible for any costs, expenses, or losses that may be incurred by the bidding party in the preparation of their Bid.
    c.    icipe reserves the right to accept or reject any Bid without assigning any reasons thereof.
